Categorize Mails

What do you do when you feel the need to jot down your thoughts before you respond to a mail? Presently, you click Reply/Reply All and jot down notes in the body of the mail and save the mail as a draft.

Sometimes it is possible that you accidentally send the draft without collating the data or more embarrassingly without removing your notes. Once again tZirrTM saves the day. With the Pen Thoughts feature you can add Thoughts to a mail. This will be ‘for your eyes only‘ and will never be sent along with the mail.

With ‘Explore Thoughts’ feature, one can even see which mails have Thoughts tagged to them and go through all the Thoughts in the Thoughts Explorer. One can also Group/Sort by clicking the column header.

Sometimes you receive a document which needs some modifications. Imagine if there are multiple modifications involved to the same document and everyone just forgot to rename the attachment. You are looking for a particular version of the attachment. You search all the mails received based on the subject and you open all attachments to check which one you need. You waste precious time searching for the right document, and mose likely than not, you are lost in a jungle of attachments.

This is where tZirrTM comes to the rescue! With the click of a button you can open the Attachment Explorer, which lists out all the attachments you have received on to a selected folder.

One can filter on type of attachment. One can also Group/Sort based on the sender, subject, or date/time of receiving by clicking the corresponding column headers.

What do you do when you have to forward several mails? You either manually click Forward for each mail or send several mails as an attachment. You end up either wasting a lot of your precious time forwarding single mails or you end up sending large attachments, which takes forever to send or receive. Also the recipient cannot later search (by actual sender’s name) for the mails forwarded.

What do you do when you have to save just a few mails in a particular sequence?

The Bundle Mails feature of tZirrTM allows you to select a set of mails and save them as Personal Storage Table, popularly known as an PST extension file format proprietary to Microsoft. You send it as an attachment or you can save it for later as an archived file. For this you need not select an entire folder; you can create neat little bundles of mails. The search result based on your specific criteria can be bundled even though the mails are across folders.

Reply All is a boon and most of times a bane for email users, especially when there are group IDs that sends mails to everyone in the organization. Reply All is the single-most feature that generate spam in copious amounts.

A generic scenario where someone sends an ‘FYI’ (for your information) mail to everyone in the organization. Someone hits Reply All and thanks the sender, and enquires about the sender. The sender once again clicks Reply All and answers the query. Now, this has become a private conversation between two people and definitely a nuisance to involuntarily hear in on someone’s private conversation like this! Especially when you are in a hurry to meet your deadline but stopped to check your mail.

Just because everyone was copied doesn’t mean that everyone should receive everyone’s reply. Hitting Reply All indiscriminately would definitely flood everyone’s inbox in no time! And waste productive time!
